Guidelines and Policies

for SwimMastery Member Coaches

To uphold the reputation of the SwimMastery and keep this a peaceful and productive community we want to be a part of, we have various guidelines and policies to help members cooperate with our mission and values and culture.

Your Ongoing Subscription Membership

Your Ongoing Subscription Membership

Objective

Each active member coach should maintain an ongoing subscription membership with the SwimMastery community.

Explanation

SwimMastery is a community of like-minded coaches. It is a collective where colleagues are helping each other grow their abilities as coaches and grow their businesses. The modest subscription fee is collected in exchange for being a part of this supportive community.

The subscription fee is tied to your SwimMastery coach membership level. Upon successful completion of your coach training course at each level, your agreement to the terms and your monthly subscription payment is what keeps your membership and association with SwimMastery valid.

Action Point

Subscribe to the membership that corresponds to your current level of membership with SwimMastery, and maintain that monthly payment.

We understand there are hardships. Short interruptions to your subscription payment may be tolerated when your circumstances are difficult. If a circumstance comes about and you need to interrupt your payment, please contact the management team right away to negotiate the terms of the interruption.

Reaching Out To Your Mailing List

Reaching Out To Your Mailing List

Objective

We would like to work with you to periodically send an invitation to your mailing list for people to join our collective SwimMastery mailing list, and make our community’s products and services known more widely.

Explanation

One of the central benefits to you, as a member coaches of the SwimMastery community is for our platform to advertise you, a member coach, your events and your products to a much wider range of potential customers around the world through our collective reach. We do that as a community by sharing our resources with one another in certain ways. Sharing our mailing lists is one of these ways. Rather than each coach advertising only to the smaller number of people on their own list, we can advertise to tens of thousands of people around the world together.

Each member coach, like you, has put in the work to earn the trust and interest of the people on their mailing list. Those people on your list have agreed to join yours, and they have not agreed yet to join our larger SwimMastery mailing list yet. With your help, or with someone on our management team helping you, we would like to periodically send a message to those on your mailing list to invite them to join the larger collective SwimMastery mailing list. It could simply be an invitation and link to join. We can provide you with templates, suggestions and examples of marketing content to make it easier for you to do this.

The invitation would allow each person on the list to make their own decision about joining the SwimMastery list, and this way we make sure they are aware and willing to do so. We do not want to take the names of each coach’s list and add them without permission. And, you can guide the way in how we do that so that it honors your relationship with those people on your list and your style of communication.

Action Point

When you become a member coach, and periodically after that, we will contact you to discuss how we can approach your mailing list to send them this invitation.

Upholding Our Core Values & Reputation

Upholding Our Core Values & Reputation

Objective

As an organization and a community we have certain noble values that we are passionate to represent and be known for, and attract clients who want what we represent. It is vital for every member to embrace those values and demonstrate them so that we can build that reputation and attractive power together.

Explanation

Our community is centered around certain values that reveal who we are as coaches and businesses.

For our clients we value:

  • Keeping our clients safe – physically, emotionally, and materially
  • Meeting the needs of clients in a way that is appropriate to their personal context
  • Promoting wellness in all facets of our clients’ lives, holistically

For our coaching we value:

  • Being a safe person to be with – safe physically, emotionally, and materially
  • Being present and attentive with our clients
  • Being exceptionally skilled at the services we provide

For our businesses we value:

  • Being in good standing with the authorities, with our community, with our clients, with our natural environment
  • Pursuing growth responsibly, in harmony with our communities
  • Earning an attractive income from doing good work

For our membership we value:

  • The love of learning and sharing that learning
  • The dedication to skill mastery
  • The dedication to building relationship with colleagues

When we act out of these values it will have a positive impact on our clients, on our selves, on our community and on our reputation. The more values we demonstrate in our way of working, the more these will converge to build a very powerful impact and a very attractive business.

But the negative is true also – when we violate these values it will have a disportionately negative impact. The human brain is wired to be attentive to negative things (a negativity bias) the more powerful a single negative experience is compared to a single positive. Because of this we have to put great effort into improving our demonstration of positive values and guard against doing things that leave a negative impression. And when a negative impression happens we need to take the impact of that experience seriously, because each time it can negate a great deal of the good impressions we’ve all worked hard to build up. In this case, our management team would intervene and mediate the situation in a way that upholds our values.

Actions Points

It is imperative for each member to understand and not merely accept the values, but agree with them whole-heartedly, and do your best to demonstrate these.

Perhaps, no single coach will be skilled in demonstrating all these values equally, but it is important to know your strengths and weaknesses and work on guarding against your vulnerabilities to those weak areas. Be open to feedback from your clients and your colleagues. Seek guidance and coaching in how to become stronger in your weak areas.

If a member coach appears to be operating in a way that is contrary to our values the SwimMastery management team will inquire to learn from this person what is going on and see if there is the possibility of correcting the perception of a problem or correcting the problem and restore good standing.

Your Continuing Professional Development

Your Continuing Professional Development

Objective

Each member coach is urged to pursue continuing professional development (CPD) in the areas of interest and need, from within our community and out.

Explanation

One of the central parts of the SwimMastery mission is to help build more effective coaches and more prosperous businesses. We have joined together in SwimMastery because we are all dedicated to continuing our personal development and growth, both as coaches and as businesses.

There is so much to learn because there are so many interesting and complex problems to solve in working with human swimmers and in running good businesses. And the realms of knowledge that apply to what we do keep growing. The is more out there than any one of us could contain and master. But to stay in front of our client needs and our business needs, each of us must keep seeking out new and better understanding, and skills and experience.

For this purpose we encourage you and every member, and our management team to pursue continuing professional development (CPD). Your development could be in so many different directions – which ever fit your needs and interests in coaching and business. You may pursue professional development through the opportunities we create through SwimMastery and you may pursue opportunities set up by other organization, specialists and programs.

At this time, we do not have nor plan to have reporting requirements for your CPD. It is a central value of our community and we trust that you joined this community because it is also one of your central values and you don’t need to be externally motivated to keep working at it. You know your interests and your needs, and at what pace you can pursue that education.

Action Points

What we do hope and request is that you share some of your new knowledge and skills with the rest of the community in some way.  This would be a testimony to your dedication to CPD. For that we point you to the guideline for Contributing To Our Knowledge Network

Using The Logo And Brand Name

Using The Logo And Brand Name

Objective

We would like to keep the visual impression of our SwimMastery logo and brand name consistent and easily recognized by using a certain design, certain colors, and arranging the logo and name in certain ways. At the same time we also want to be flexible (within limits) so that it can be useful to you in a variety of ways.

Explanation

We would prefer that you use the original colors, if appropriate. You may also print the logo in a single color if the printing situation allows only one.

In some circumstances you may change the colors on the logo but please do not change the design, shape or relative proportions of the logo.

The logo may be used without the brand name and the brand name may be used without the logo. When the name is used together in the same image as the logo, please do not change the font or shape of the name. You may position the brand name anywhere around the logo.

When the name is used alone, in an artistic or advertising motif, try to use the special font, because this has a trademark effect. If the name is used in a segment of text, you do not need to use the special font.

Action Points

If you have any doubts or questions about how to use the logo, or if you have an idea for using in a way you have not seen it used so far, please contact us to discuss your idea. We are eager to help you promote.

If you need the logo file in some format we have not provided to you already check with us to see what other file types we can convert it to for your needs.

Courtesy To Colleagues

Courtesy To Colleagues

Objective

We want to encourage cooperation and goodwill between coaches, even if there is some competition between coaches in some situations.

Explanation

Each of us are both members of the SwimMastery community and independent businesses. In the SwimMastery community there are no exclusive territories for certain member coaches. Despite all the people and places in the world, there is the possibility that the areas of operation for some member coaches could overlap with each other. Some regions have more people and facilities which can support more coaches while other regions have less. It is natural for coaches established in a location to feel some sense of ownership over it, and perceive a scarcity of opportunity and feel a reluctance to share. Because of this possibility it is important for members coaches operating in the same region to put to put effort into staying in communication with each other to maintain goodwill between local coaches and lower the chances of misunderstanding or conflict.

Action Points

At best, some member coaches operating in the same region may consider collaborating with each other, to share resources, to magnify their positive impact and improve revenue opportunities together.

At least, member coaches operating in the same region should be aware of the activities of the other coaches, and keep in contact to avoid unnecessary encroachment on each others activities and relationships.

If you have a concern, or perceive a possible conflict with another coach operating in the same area, we urge you to reach out and acknowledge this possibility, seek an amicable solution.

If one member coach has the opportunity to visit and set up an event in the area that another member coach lives and works in, then the visiting coach should make effort to contact the local coach, explain your intentions and seek to avoid conflict with the local coach’s activities.

The SwimMastery management team is selective about who is invited to become a member coach, both for their suitability with our mission and values and with consideration to their region of operation. However, we do not control where our member coaches operate and we realize the possibility of competition or conflict remains.

If you are uncertain about what to do in a situation with another member coach, you may approach the SwimMastery management team to ask advice or ask them inquire with the other coach to seek out an amicable solution.

Contributing To Our Knowledge Network

Contributing To Our Knowledge Network

Objective

We urge each member coach to participate in building our collective ‘knowledge network’.

Explanation

One of the central pieces of the SwimMastery community is our ‘knowledge network’ – the linking of knowledge and skill that you and each member of our community play a role in. By drawing on the skills and experience of each other we can be much more together than we could be separately.

You have certain skills and experience from your life and work. It may be in the area of coaching, in athletics, in health, in wellness, in business, in leadership or any other area that is complementary to coaching.

Other members have different combinations of skills and experience also. You may help others with your strengths while they are able to help you with theirs.

The SwimMastery is set up to facilitate the building of this knowledge network.

Action Points

The most basic form of participation is to join in conversations on the coach forums, asking questions and providing answers and insights. You may study the materials in our growing library and offer feedback to help us expand and improve those.

You have knowledge, skills and experience to share. Perhaps you don’t quite know how to do that. One of the services we can provide through SwimMastery is to help you bring your educational gift to life, in the form or a live class, a book, a webinar, or an online training module. Or you may simply share your notes on the forum.

You may be ready right now, or you may not feel ready. But in time, we believe you’ll have something you feel led to share and we’d like to encourage and support you to do that.

Being Lawful

Being Lawful

Objective

To obtain your commitment to adhere to the laws in your region of operation regarding your business and your coaching activities.

Explanation

It is important to our shared SwimMastery reputation as well as to the well-being of our local communities and to our clients that our businesses and our coaching practices follow the law and safety standards of the regions our members operate in.

There are legal, professional, and government obligations that each business needs to fulfill.

There are likely certain taxes required for your businesses and income.

There may be training and certifications required of you by a national governing bodies.

There may be insurance required to cover your coaching services and activities.

It is the responsibility of each member coach to research and follow the laws and standards that apply to your business and your coaching activities, in your region (or regions) of operation.

Action Point

It is your responsibility to know the laws in your regions of operation, those that affect your coaching and business. It is your responsibility to follow those laws.

The SwimMastery management team will not necessarily investigate whether a member coach is complying with their regional laws and standards. If a concern or complaint is given regarding you the management team will inquire with you to learn more about your situation. It is our intent to support you and encourage you in a lawful and successful direction for your business.

Handling Conflicts In Our Community

Handling Conflicts In Our Community

Objective

To avoid, reduce or solve conflicts that may come up within our community, and to grow from these experiences.

Explanation

With our community being focused on being a safe place to learn, to share, to build a social network and collaborate with others, it is important that both the SwimMastery management team and the members help protect the atmosphere that makes this possible. Our guidelines are intended to help reduce the likelihood and severity of conflicts, and to help guide us when we do encounter them.

We are concerned about protecting the SwimMastery name, the community and the members, of which you are one. The problems we may be most concerned about are those that appear to injure our mutual trust, our individual and collective reputations, our coaching practices, or our businesses. If our members cannot resolve these among themselves, the management team may need to intervene to work on a solution.

Action Points

If you see a conflict emerging for yourself, or are experiencing one with another member and this is something that could affect our organization or members, the SwimMastery management team would appreciate being informed, and an opportunity to inquire to see if we can intervene to avoid or solve the conflict and learn something from it.

Please reach out to us if there is a way we might be able to help. If something threatening to our mission comes to our attention we will be motivated to inquire and possibly intervene. We’d like to do this as a partner with you to solve the conflict.

If you feel there is a conflict with the SwimMastery management team or mission, please approach one of us in a constructive way and make your case. After all, it is our mission to serve you, our member coaches, and if we’re not doing this well, we need to be made aware and given an opportunity to improve that service or improve that impression.

Speaking About Competitors

Speaking About Competitors

Objective

However they behave, however we are treated, we want the (public or private) comments from our members about our competitors to remain more dignified, and be far more mature.

Explanation

We will see differences and have criticisms of our competitors and we will hear about their negative views of us. Competitors who take notice and make comment about us, whether deserved or not, whether kindly and constructive or not, still offer us a great service.

Their valid criticisms help us see what needs to be examined and perhaps improved. We might need to improve our content or we might need to improve our public impression. It keeps us aware. It keeps us accountable to reexamine and properly defend what we do or if we cannot, make a correction.

Their invalid criticisms and attacks offer us valuable insight into their thinking and mode of operation and character. It reveals their insecurities. Poor or immature conduct by their agents or by their followers is a public disgrace to their own brand.

Likewise, poor or immature conduct by our members or followers is a public disgrace to our community brand.

To let them act like fools is to our advantage. To refrain from acting like fools ourselves is also to our advantage.

This does not mean we should not or will not respond. It does mean we should and will consider carefully how to respond, to uphold our values and reputation that each of us depend upon.

Action Points

Be careful when getting into conversations on social media about those people or organizations that may be regarded as our competitors. Be careful when getting into conversations with the agents or passionate followers of a competitor. Consider first what you want to accomplish and how likely you will be able to do that. Don’t waste your time or risk our reputation.

Please be restrained in critical comments. Offer constructive criticism if you must. Stay focused on ideas, methods, practices. Be reasoned. Build a case with facts. Avoid talking about people, their intentions, their character.

If something bothers you about what is done or said by someone from an opposing viewpoint, bring it up in discussion with your SwimMastery colleagues and let us together consider with you whether a response is warranted, and how to respond in a way that is more likely to accomplish what we would like it to.
